Wylfred places great importance on respecting your privacy. This Privacy Policy (the "Policy") is intended to inform you of Wylfred's commitments regarding privacy and the protection of personal information, in accordance with the Act respecting the protection of personal information in the private sector (Law 25) and other applicable laws in Québec. Its purpose is to help you better understand Wylfred's practices regarding the collection, use, disclosure and retention of your personal information.

Wylfred is a product of Lexya Inc., a company headquartered at 1375 Frank-Carrel Street, Suite 30, Québec (Québec) G1N 2E7, Canada. This Policy applies to the personal information that Wylfred collects and holds about you in connection with your use of the Wylfred.ai platform and any other interaction with our services.

1. Collection of Personal Information

We are committed to protecting the confidentiality of your personal information. This section explains how we collect your information when you interact with our platform.

Direct collection: We collect your personal information directly from you when you choose to interact with Wylfred, including when you:

  • create an account or sign in
  • complete your profile for the purpose of scholarship matching
  • respond to Wylfred emails or surveys
  • contact us by email or through any other channel

Profile data: To perform scholarship matching, we invite you to complete a profile. The information you may choose to provide us includes:

  • identification information: first name, last name, email address
  • academic information: university, program of study, level of study, cumulative GPA
  • personal information: date of birth, gender, mother tongue, province of residence
  • situational information: citizenship, immigration status, family situation, financial situation
  • information that may be considered sensitive: ethnic or cultural origin, disability status, membership in an Indigenous community

You control the information you choose to share with us. The more complete your profile, the more accurate your matches will be. You may choose not to provide certain information, which may limit the relevance of your results.

Automatic collection: We also collect information automatically when you browse our website, including through cookies and analytics tools. See section 10 for more details.

2. Consent

2.1 Explicit consent

The collection of certain personal information, including the sensitive data listed in section 1, is subject to your explicit consent. We collect only the information you voluntarily choose to provide. If at any time we wish to use your information for a purpose other than those described in this Policy, we will seek your prior consent.

We obtain your consent in a transparent and precise manner. When you complete your profile, we inform you of how each category of information will be used. You may choose not to provide certain information without affecting your access to the platform.

2.2 Sensitive data

Certain categories of information you may choose to share with us — including ethnic or cultural origin, disability status, or membership in an Indigenous community — are considered sensitive under Law 25. We handle this information with an elevated level of protection and use it solely for the purpose of matching you with scholarships for which these criteria constitute explicit eligibility conditions.

2.3 Withdrawal of consent

You have the right to withdraw your consent at any time with respect to the collection, use or sharing of your personal information. You may also modify or delete your profile information at any time from your account. To fully withdraw your consent or close your account, contact us using the information provided in section 13. Your withdrawal of consent will not affect the lawfulness of any use of your data prior to that withdrawal.

3. Types of Personal Information Collected

The following are the types of personal information we may collect:

  • Identification information: first name, last name, email address and any other information you choose to provide us.
  • Academic and personal profile data: all information provided when completing your profile, as described in section 1. This data is used exclusively for the purpose of scholarship matching.
  • Communication preferences: when you subscribe to our communications or participate in data collection initiatives.
  • Browsing data: when you browse our website, we automatically receive the IP address of your device in order to better understand your browsing environment. We may also collect information through cookies (see section 10).

4. Purposes of Use of Personal Information

We use your personal information for the following purposes:

  • perform matching between your profile and scholarships for which you are eligible
  • improve the accuracy and relevance of our matching algorithm
  • personalize your experience on the platform
  • send you communications to which you have consented, including notifications about relevant scholarships and their deadlines
  • deliver advertising (see section 10)
  • analyze the use of our website in order to improve its performance
  • comply with our legal obligations

5. Artificial Intelligence Processing

Wylfred uses artificial intelligence systems to analyze your profile and identify scholarships for which you may be eligible. These systems process the information you have provided in order to generate personalized recommendations.

5.1 Third-party AI models

For certain features, Wylfred uses third-party artificial intelligence model providers. In this context, certain profile data may be transmitted to these providers in order to generate results. Our current AI model providers are:

These providers are required to protect your data in accordance with their own privacy policies and the contractual agreements we have entered into with them. We encourage you to review their respective policies for more information on their data practices.

5.2 Automated decisions

Scholarship matching performed by Wylfred is a recommendation generated in an automated manner. We do not make decisions with legal or significant effects on you in a fully automated way without the possibility of recourse. If you believe a matching result is inaccurate, you may contact us using the information provided in section 13.

5.3 Accuracy of results

Wylfred makes its best efforts to maintain an accurate and up-to-date scholarship database. However, we cannot guarantee the completeness, accuracy or currency of the scholarship information presented on the platform. We encourage you to verify eligibility conditions directly with the relevant organizations before submitting an application.

6. Access to Information

Personal information collected by Wylfred is accessible only to employees or representatives of Lexya Inc. who require it in the performance of their duties. These individuals are at all times required to maintain confidentiality and must regularly participate in training and awareness activities regarding security and the protection of personal information.

7. Disclosure of Information to Third Parties

7.1 Third-party service providers

We work with third-party service providers who process data on our behalf. They are required to protect your information and use it only for the agreed purposes. Our primary current providers are:

  • Amazon Web Services (AWS) — server hosting in Canada
  • Google Analytics — website usage analysis
  • Google Tag Manager — management of tracking tags on our website
  • Google Ad Manager (GAM) — ad management and delivery. This service may place cookies for advertising purposes (see section 10).
  • OpenAI, Anthropic, Google (Gemini) — AI model providers for the purpose of scholarship matching (see section 5).

When you leave our website or are redirected to a third-party website, this Policy no longer applies. We encourage you to review the privacy policy of each third-party site you visit.

7.2 Scholarship partners and organizations

In the context of partnerships with scholarship-granting organizations, certain information may be shared with these partners, only if you have explicitly consented to this. You will be informed before any such sharing takes place.

7.3 Legal obligations

We may disclose your personal information if required to do so by law, by a court order, or if you breach our Terms of Use.

7.4 Business transfer

If Lexya Inc. or any of its products, including Wylfred, were to be sold, assigned, merged or reorganized, your information may be transferred to the new owners so that they may continue to serve you, in accordance with this Policy.

8. Retention of Personal Information

We retain your personal information only for as long as necessary for the purposes for which it was collected, or to comply with our legal obligations. As a general guide:

  • Account and profile data: retained for as long as your account is active, then deleted within 30 days of account closure or your deletion request.
  • Browsing data and cookies: in accordance with the settings of the third-party tools used (see section 10).

When information is no longer required, we destroy or anonymize it in a secure manner.

9. Servers

Our service is hosted on Amazon Web Services (AWS) servers. Our primary server is located in Canada.

Wylfred does not process financial transactions. No payment information is collected directly by the platform.

10. Cookies and Advertising

10.1 Use of cookies

The Wylfred website and platform use cookies and other technologies to operate effectively. These technologies record information about your use of our sites, including:

  • browser and device data: IP address, device type, browser type, screen resolution, operating system name and version, device manufacturer and model, language, plug-ins and modules
  • usage data: time spent on the sites, pages visited, links clicked, language preferences and pages that referred you to our sites
  • information about your online activities across third-party websites, connected devices, applications and other online services over time

10.2 Advertising

Our site uses Google Ad Manager (GAM) to deliver advertising. This service, as well as the third-party advertising partners connected to it, may place cookies for the purposes of ad targeting and performance measurement.

In the event that we deploy a consent management platform (CMP), you will be invited to set your preferences regarding advertising cookies before they are placed. You will be able to update your preferences at any time.

10.3 Analytics tools

We use Google Analytics to analyze your use of our sites and diagnose technical issues. For more information on Google's data practices: policies.google.com/privacy.

10.4 Your choices

You may configure your browser to refuse cookies or to be notified when a cookie is placed. Please note that some features of the site may not function properly if cookies are disabled. For advertising cookies, you may also manage your preferences through the tools provided by the relevant platforms (e.g.: YourAdChoices.ca). For any questions about the cookies used on our sites, contact us using the information provided in section 13.

11. Your Rights

In accordance with Law 25, you have the following rights:

  • Right of access: consult the personal information we hold about you.
  • Right of rectification: request the correction of inaccurate or incomplete information.
  • Right to erasure: request the deletion of your information, subject to our legal obligations.
  • Right to data portability: receive your information in a structured, commonly used technological format.
  • Right to de-indexation: if information about you has been made available online without your consent, you may request that it be made no longer accessible.
  • Right to withdraw consent: withdraw your consent at any time (see section 2.3).
  • Right not to be subject to a fully automated decision: you may request that a decision concerning you be reviewed by a human if you believe the automated result is inaccurate or unfair.

To exercise any of these rights, contact us using the information provided in section 13. We will process your request within 30 days.

12. Minimum Age

Our services are intended for individuals aged 18 and over. By using our platform, you confirm that you have reached the age of majority in your province of residence. If you are a minor and wish to use our services, you must obtain the consent of a parent or legal guardian.

14. Governance

The following are the governance principles adopted by Lexya Inc. with respect to privacy and the protection of personal information across all of its products, including Wylfred:

  • Roles and responsibilities are defined for the various stakeholders within Lexya Inc. throughout the lifecycle of personal information.
  • A privacy officer is designated (see section 13).
  • Any privacy incident presenting a serious risk of harm is documented and reported to the CAI and the individuals concerned, in accordance with Law 25.
  • Complaints are always handled as a priority.
  • Training and awareness activities are provided to employees to ensure compliance with privacy and personal information protection requirements.
  • A point of contact is available at all times for any questions regarding personal information handling practices (see section 13).

15. Changes to This Policy

We reserve the right to modify this Policy at any time. Any changes will take effect upon publication on our website. In the event of a significant change affecting your rights or the way we use your information, we will notify you proactively, including by email or through a notice on our website.
